Visitor Management Archives

A visitor management system is designed to capture visitor information and help your facility verify who enters. Compared to a traditional visitor management system, such as a paper visitor log or physically checking ID cards, an identity and access management system automates the process. Not only does this save time for your receptionist, office staff, or security team, but it also makes your facility safer. If you’re ready to improve how your facility manages visitors, the guide below covers what to look for in a visitor management system for your business, school, or office. What Is a Visitor Management System? A visitor management system (VMS) is designed to track who enters your facility. For some organizations, visitor management is as simple as having guests write their name on a sign-in sheet. For others, it’s a sophisticated integration of hardware and software that tracks, screens, and manages everyone who enters a facility. With a combination of check-in kiosks, self-expiring visitor labels, and visitor access control credentials, these systems help you control who enters your building, where they go, and crucially, when they leave. Paper Visitor Logs vs. Modern Cloud Visitor Management Systems Paper sign-in sheets often seem like the easiest way to track visitors. However, they can create a greater administrative burden, widen security gaps, and make it much more difficult to prepare for audits. Here’s how the methods compare. Visitor Management Features Traditional Paper Logbooks Modern Cloud-Based VMS Check-In Speed Requires manual handwriting; receptionist often needs to verify compliance Often instant with the use of QR codes or ID scans; typically can be done without a receptionist processing each guest Data Privacy Low; open to public view High; encrypted cloud storage Notifications and Alerts Requires manual phone calls or messages Automatically email host when visitor arrives Audit & Reporting Readiness Requires manual data entry Logs are stored automatically and can be exported with one click Not every organization needs the level of control and security that comes with cloud-based, automated systems. For small organizations or those with minimal visitor interaction, paper logs still make sense. However, these systems often serve only current business needs, making it more difficult to grow or scale in the future. For a deeper look at secure, audit-ready workflows, read visitor management best practices to learn about the best methods for security and audit-readiness. Core Visitor Management System Features to Look For Visitor management software features include far more than just logging who entered your building. However, not all VMS software is designed the same. When evaluating your options, be sure to check for features that help streamline operations, bolster security, and simplify compliance. Pre-Registration and Self Check-In Pre-registration allows your staff to enter visitor information online before the guests arrive. Not only does this give you greater control over who is authorized to enter your facility, but it also reduces bottlenecks at registration desks and improves the visitor experience. Instant Visitor Badge Printing To aid with access control, the best visitor management systems will also allow you to print ID badges. Security personnel can visually scan visitors’ IDs to help identify and differentiate authorized individuals from others. Badges can be color-coded by role to differentiate between vendors, delivery drivers, volunteers, family members, and others. Role-Based Visitor Access Control With a sophisticated user access management system, you can differentiate visitors based on their role. For example, schools can create access control parameters for parents. Likewise, a business can set up automated permissions for delivery drivers versus vendors. Look for a system that lets you fine-tune access control so that each visitor type has unique permissions. A system that supports temporary and scheduled credentials gives you complete control not just over who has access but also when. Cloud Identity Management and Secure Storage Different facilities have different IT architectures, security requirements, and data compliance mandates. Some visitor management systems are designed to run on local servers, while others are fully managed in the cloud. Cloud visitor management systems and on-premises servers are both secure and encrypted. However, facilities with strict security protocols may still require data to be stored on a local network. While this is ideal for some organizations, a cloud-hosted system has many benefits. A cloud-based VMS: Can be accessed by remote admins. Is shareable between multi-location organizations. Stores real-time visitor records, access logs, and reports. Runs on the latest software and is updated automatically. Interactive Maps and Live Video Integration If you have a large campus or multi-floor security, a video surveillance system is a must for identifying incidents in real time. VIDIX Control’s interactive maps highlight problem areas and show live video feeds by location. This allows you to respond more quickly to any access control issue. Kiosks and Self-Service Stations Visitor management doesn’t require each visitor to stand in line and register with a receptionist. Using self-service kiosks frees up reception staff for other tasks. They also help keep your lobby from becoming crowded during busy times. Hardware options can include: iPad or tablet-based kiosks Desktop computers Touchless check-ins using the visitor’s smartphone Evaluating a Visitor Management System: What to Consider Modern identity and access management systems are loaded with advanced features, but it can be hard to decide exactly what you need for your organization. To help narrow down your decision, consider factors such as: Ease of Use: A VMS may have many features, but it shouldn’t be clunky or difficult to navigate. Look for a user-friendly dashboard with an intuitive interface. The dashboard should have filter and search functions that make it easy for you to manage visitors, check credentials, and change permissions. Integration: To avoid upgrading your entire security system, your VMS should work seamlessly with your existing access control and surveillance system. Compliance Needs: Each organization has different requirements for data retention and visitor documentation. Whether you’re meeting HIPAA guidelines, school safety standards, or corporate NDAs, choosing a customizable VMS will help you select exactly what you need to run audits, without unnecessary features weighing you down. Budget and Scalability: A cloud-based system provides hands-off maintenance, whereas a server-based system gives you more control. Both deployment options allow the security solution to grow with your business and adapt to your current needs. Investing in a scalable system will help you avoid unnecessary upgrade costs later. Find the Right System for Your Facility Whether you’re working with paper visitor logs or an online system that’s no longer serving your needs, it’s important to look at visitor management as an extension of your building’s larger access control infrastructure. However, upgrading your system shouldn’t require changing every facet of your building security or visitor protocols. That’s why VIDIX Control is designed to integrate with your existing systems and simplify, rather than complicate, how you manage security and access. Want to see how it works?
